Remote Virtual Assistant (Minnesota)
Description
Remote Virtual Assistant (Minnesota)
Can your focus turn chaos into calm? Ours can too—and we're looking for someone ready to bring clarity, structure, and energy to a fast-moving remote team. As a Virtual Assistant rooted in Minnesota, you'll be the operational heartbeat behind our day-to-day momentum. This isn't about checking off tasks. It's about anticipating needs before they arise and owning workflows that enable the team to do their best work.
What You'll Help Us Achieve
You'll be the thread that keeps everything connected. From streamlining daily communications to managing digital schedules, your work will directly improve how the team collaborates and performs.
Your ability to organize, prioritize, and simplify means less back-and-forth and more time spent on what matters. We trust you to drive meaningful change—not just follow checklists.
- Coordinate internal calendars, meetings, and recurring team events to eliminate scheduling bottlenecks.
- Serve as the first point of contact for inbound requests, ensuring clarity and responsiveness across the board.
- Organize documentation in Notion, Google Drive, or Dropbox so that everything has a designated home and nothing gets lost.
- Support executives with administrative needs that range from inbox triage to basic research and travel planning.
- Prepare clean, professional summaries, reports, and updates that help the team stay on the same page.
Your fingerprints will be all over smoother handoffs, fewer delays, and faster turnarounds.
What Sets This Role Apart
This isn’t a traditional assistant job where you wait for instructions.
Here, you’re empowered to build systems, spot inefficiencies, and raise your hand when something needs fixing. You'll craft workflows that make life easier for others, as well as for yourself. We move quickly, but you'll always have space to focus deeply.
- You’ll work closely with decision-makers, not just support them.
- You’ll suggest better tools or shortcuts—and we’ll try them.
- You’ll manage competing priorities with confidence because you know how to separate urgent from important.
Your voice matters. If you notice a gap, we expect you to fill it or flag it. If something doesn’t make sense, we want your questions. This is a place where curiosity, courage, and communication go hand in hand.
Tools and Tech You'll Use
Our remote collaboration stack is simple but powerful. We believe in using the right tools—not the most tools.
- Notion for knowledge management and task tracking.
- Google Workspace for docs, spreadsheets, and calendar operations.
- Slack for internal messaging and async communication.
- Use Zoom for weekly check-ins and occasional video conferences.
- Trello or Asana for managing project timelines.
You don’t need to know all of these on day one, but you should be comfortable jumping into new platforms with confidence and curiosity.
A Bit About How We Work
Remote doesn’t mean disconnected. We care deeply about how we communicate, support each other, and create shared momentum. While we don’t micromanage, we do stay aligned. That means clear expectations, proactive updates, and consistent availability during core hours in the Central Time Zone.
We default to trust. If you say it’s handled, we believe you. We value quiet excellence as much as visible wins. Whether you’re documenting processes or nudging a meeting forward, your work helps the entire team move faster and smarter.
Who Thrives Here
You bring structure to uncertainty. When faced with a vague request, you ask the right questions and shape it into a clear task. You simplify complex ideas—whether it’s over Zoom or Slack. You have a knack for catching what others miss.
- You’re based in Minnesota and can align with Central Time Zone hours.
- You’ve worked remotely and know how to manage your own time.
- You’re a strong written communicator who can craft concise and actionable messages.
- You’re comfortable juggling multiple threads and shifting priorities—and doing it without letting anything slip.
- You’re resourceful. You Google before asking. You try before you panic. But you also know when to escalate.
Whether you’ve been an executive assistant, project coordinator, or administrative whiz in another field, what matters most is your ability to stay five steps ahead and make things run better than they did yesterday.
