Remote Billing and Invoicing Assistant

Description

Remote Billing and Invoicing Assistant

Can you turn numbers into trust? That’s what you’ll do here—bring transparency and accuracy to every dollar billed. We’re looking for someone who treats invoicing as a cornerstone of client experience, not just a back-office function. If you care about precision, clarity, and impact, this might be the remote role that fits just right.

What You'll Make Happen

Your work ensures that our clients always know where they stand, financially and professionally. You’ll manage invoicing workflows that help us get paid on time—while earning the trust of partners and internal teams.

  • Create, review, and send invoices that are accurate, timely, and easy to understand—helping reduce billing queries and improving client satisfaction.
  • Track and reconcile payments to maintain financial clarity across the organization.
  • Handle adjustments, refunds, or payment disputes with a mindset of empathy and efficiency.
  • Monitor accounts receivable, proactively flag overdue invoices, and follow up with professionalism.
  • Support contract terms and rate tracking, ensuring billing aligns with agreed service levels and commitments.
  • Collaborate with our remote finance team to ensure reporting, compliance, and audit readiness.

The Outcomes That Matter

You’re not just sending bills—you’re safeguarding the rhythm of our revenue. With your help:

  • Billing accuracy consistently exceeds 99%, minimizing friction and rework.
  • Invoicing timelines are optimized, ensuring that 95% of payments arrive within the agreed-upon terms.
  • Stakeholders across departments gain confidence in our billing system.
  • Clients feel supported, understood, and respected throughout their payment experience.

Our Remote Rhythm

This is a remote-first team that values clear communication, asynchronous collaboration, and deep trust. You’ll own your time, set your priorities, and show up with accountability. Whether you’re based in a city or working from a quiet mountain town, what matters is your consistency, clarity, and care.

We utilize a thoughtful stack of remote collaboration tools, including Slack, Notion, Zoom, and Google Sheets. Your day might start with a billing sync via Zoom and end with posting a reconciled report in Notion. There's space for quiet focus, along with room to share ideas and collaborate on improving systems together.

Tools You'll Use

We keep our tech stack simple and purposeful. You’ll work with:

  • QuickBooks Online for invoicing and financial reporting
  • Google Workspace for spreadsheets, documentation, and invoicing templates
  • Slack and Zoom for real-time updates and team check-ins
  • Notion for documentation and workflow tracking

And if there’s a better tool you believe in? We’re all ears. You’ll have the autonomy to suggest smarter systems.

Traits That Shine Here

We're drawn to professionals who bring emotional intelligence to their work, including those who use spreadsheets. You value clarity and have an eye for detail, but also understand the human side of billing—and how it builds lasting trust.

  • You catch inconsistencies before they become problems—because you double-check everything.
  • You simplify numbers and language so clients feel empowered, not confused.
  • You bring order to complexity—streamlining what others find chaotic.
  • You’re self-managed but deeply collaborative when it matters.
  • You communicate well in writing and in voice—especially when delivering sensitive financial updates.

What Helps You Succeed

  • 2+ years in a billing, finance assistant, or accounts receivable role (remote experience a plus)
  • Proficiency in QuickBooks Online, Google Sheets, and basic reconciliation workflows
  • Comfort working across time zones and asynchronous systems
  • A strong command of written English and the ability to explain financial info with empathy
  • Bonus: experience with client service, contract billing, or SaaS invoicing models
