π― Key Responsibilities
π Executive Support & Administration
- Manage executivesβ calendars, appointments, and meetings efficiently
- Prepare reports, presentations, and other essential business documents
- Organize and prioritize emails, responding on behalf of executives when necessary
- Handle confidential and sensitive information with discretion
- Provide high-level administrative assistance, ensuring all office operations run smoothly
- Conduct market research, data analysis, and financial reporting to support decision-making
- Collaborate with legal professionals to uphold compliance with real estate regulations and agreements
- Draft and edit correspondence, agreements, and contracts with accuracy
π Real Estate Transaction Coordination
- Assist with listing and closing processes, ensuring all documentation is accurate and submitted on time
- Communicate with clients, lenders, and third-party vendors to streamline transactions
- Oversee contract-to-close timelines and ensure all deadlines are met
- Maintain organized records of real estate transactions and documentation
- Follow up with clients to ensure seamless post-transaction support
- Liaise with title companies, inspectors, and appraisers to ensure smooth closing processes
π Marketing & Client Relations
- Create and manage property listings across various platforms
- Coordinate marketing campaigns, social media updates, and email outreach
- Build and nurture client relationships through consistent engagement and follow-ups
- Develop content for newsletters, brochures, and real estate promotional materials
- Support branding initiatives and execute strategies to enhance business presence

- Maintain and update CRM systems with accurate client and transaction details
- Generate reports and insights to help executives make informed decisions

- Ensure all client records and transaction data are updated and accessible
- Use automation tools to streamline client communication and follow-up processes
- Develop and implement effective database management practices for efficiency

- Manage multiple projects simultaneously, ensuring timely completion

Experience & Skills
- At least three years of proven experience as an Executive Assistant, preferably in real estate
- Strong knowledge of real estate transactions, contracts, and industry regulations
- Proficiency in CRM software, G-Suite, Microsoft Office, and project management tools
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- Ability to work independently and problem-solve effectively
- High level of professionalism, discretion, and attention to detail
- Experience in dealing with high-profile clients and executives
